How Automated Conflict Checks Work

JINZO's conflict check automation streamlines your case intake process by connecting your New Legal Cases directly to your internal conflict check team, automatically tracking responses, and enabling pre-queued engagement letters for instant client outreach.

Send to Conflict Check Team

From New Legal Cases, click the Email Conflict Check Team button in the AI Conflict Check box.

What happens automatically:

  • Email sent to your firm's Conflict Check Team Email (configured in Firm Profile)
  • Case automatically added to CRM with status: "Checking Conflicts"
  • Case appears at the top of your CRM pipeline in the Prospect/Pipeline section

Track in CRM While Checking

The case now appears in your CRM with clear visual separation from active engaged clients.

CRM Status Tracking:

  • CHECKING CONFLICTSYellow badge indicates it's in the conflict check queue
  • 📋
    Appears in Prospect/Pipeline section (separate from Active Clients)
  • 📊
    Shows estimated value and all case details for easy reference

Conflict Check PASSES (Yes)

When your conflict check team emails "Yes" to the notification email, the system automatically updates.

What happens automatically:

  • Status updates to: "Conflict Clear - Ready to Pitch"
  • Case card lights up green in CRM to catch your attention
  • You receive an in-app notification
  • If auto-send is enabled: Pre-queued engagement letter/pitch sends immediately

Conflict Check FAILS (No)

When your conflict check team emails "No" to the notification email, the system archives the conflict.

What happens automatically:

  • Status updates to: "Conflict Detected"
  • Case stays in system permanently associated with your firm
  • Used for future conflict detection on similar parties/entities
  • Archived but searchable for compliance and reporting

Send Pitch or Engagement Letter

Once conflict check passes, you can immediately reach out to the prospective client.

Two Options:

Option A: Manual Send

Click "Send Pitch" or "Send Engagement Letter" button when you're ready. Customize the message for each client.

Option B: Auto-Send (Pre-Queue)

WHILE waiting for conflict check:Pre-write and queue your engagement letter/pitch. When conflict team says "Yes", it sends automatically - zero delay!

Setup Required

To enable this automation, complete these one-time setup steps:

Configure Conflict Check Team Email

Go to Firm Profile→ Enter your internal conflict check team's email address in the highlighted purple box

Set Up Email Response Detection (Optional)

Your conflict team replies with "Yes" or "No" to the notification emails. JINZO automatically detects these responses and updates case status.

Start Using Automation

From New Legal Cases, click the purple "Email Conflict Check Team" button. The case auto-adds to your CRM and the workflow begins!

Lawyer Auto-Notification Workflow

Once a case passes conflict checks, JINZO can automatically notify your best-matched lawyers and handle rejections seamlessly.

Click "Notify" Button

From the Recommended Lawyers box, click the Notify button next to any lawyer.

Group Email Sent

JINZO sends a group email including:

  • You (the referring lawyer/admin)
  • The lawyer being notified
  • Case details and why they're a good match

Everyone can see who received the opportunity - full transparency!

Lawyer Accepts (or No Response)

If the lawyer replies "Yes"or doesn't reply within your configured time window, they're assigned to the case. Status updates automatically in CRM.

Lawyer Declines → Auto-Notify Next Best Match

If the lawyer replies "No", JINZO can automatically:

  • Notify the next best-matched lawyer in the ranked list
  • Track rejection history (lawyer won't see same case again)
  • Continue down the list until a lawyer accepts
  • Alert you if all lawyers decline

✨ Enable this in Settings → Auto-Cascade to Next Lawyer on Decline
